With this, the customer details (for an existing customer) with status is retrieved and is sent to the Sales quote department to quote on basis of the customer status (which is a rating based on in time payment); when the quotation is finished and later the status is approved (manually or automatically updated) the data is transshipped to the notifying department which updates the database to send timely reminder and bill payment notifications through automatic system generated mails.
With little or no intervention from the project coordinator, the Resource status including inventory, fund and manpower available in compare to other requirements is checked and if anything is found not sufficient auto generated system mails/prompts are send to the MD or the high level management personals and if the fund status is right a mail can be allowed to send directly to the distributor or supplier inviting inventory by auto generated orders (Obviously with High level confirmations.).Auto and dynamic stock depletion occurs like when a good/service is manufactured/sold/served; the respective allocated resources (of the inventory & fund) is deducted from the stock or inventory bank so that right inventory or resource level is maintained all the time. Besides these, Re-Order Level, EOQ, etc are also calculated at any point of time.
Again with little or no intervention of Project coordinator the job analysis is done and the system starts allocating jobs with respect to available resources and creates long and short-term goals. The said data and information is sent to the respective departments needed to do the job and a report is placed at the high level management. (With Proper feature of updating and editing the said job allocations.).On failing the deadlines for short-term goals prompts are made to appear in the respective directly or indirectly related departments and report is placed to the high level management and lead-time is adjusted accordingly. (The whole job can be readjusted at any point of time.). On completion of the entire job the resources are shuffled and analyzed to see whether extra resource has been allocated (Later) or used unnecessary or not in respect to what was pre allocated. If that is so the system re analyses it and the cause is discovered and report is presented automatically. Again proper invoice is raised and on payment accounts are automatically updated so that at any point of time fund flow statement can be achieved.
Most importantly the right data and information is made to float globally. I.e. If the Managing Director is Out of Country for an important meeting and he needs to know at any point of time (even if the factory or Office is closed) the details of any latest transactions that is happening or just ordered at any of his branch offices located far apart, he can have it in no time from a separate control panel in an e-commerce website. On special occasions logic can be fed in by the management personals that if the market share price value grows down a particular margin (as defined by the management) specific alerts or actions can be triggered)”
